Secretary / Office Administrator – European Cosmetic Group


Well established and world’s leading cosmetic group with wide range of renowned brands is expanding the Asia operation. They are on the look out of a Secretary & Office Administrator for the regional headquarter here in the Hong Kong office.


  • Provide full spectrum of secretarial and administrative support to the Finance & Operation Director and the team such as scheduling appointments, coordinating meetings, conferences and travel arrangement as needed
  • Maintain office operations in terms of organizing office layouts, liaise with building management and external vendors on office maintenance and renovation work when necessary
  • Work collaboratively with the admin team; this includes acting as host / ambassador / concierge ensuring all needs are attended; perform daily opening and closing procedures to ensure office is presentable throughout the business day; answer phones, meet/greet visitors.
  • Manage contract database. Process department expenses, allocate administration fees
  • Assist in planning and arranging events, including organising catering.

Job Requirements:

  • Degree holder in Business Administration or related discipline
  • At least 3 years of relevant experiences working with multi-national companies or retail industry 
  • Highly organized, diligent, strong communication and with good interpersonal skills
  • Experiences in office administration is an asset 
  • Good command of written and spoken English and Chinese, French is a plus
  • Proficient in Microsoft Office applications, MS Word, Excel, PowerPoint and Chinese Word Processing
